WEDDING PLANNING PACKAGES

Covers wedding parties with 21 guests or more

Plan 01. - $3000

Month of Planning and Day of Coordination

Planning and designing your wedding on your own? You still need someone to coordinate all the moving parts of your big day. We will be there every step of the way: 30 days before, coordinating the rehearsal, ceremony and reception. With this package, you will hire an expert coordinator for the last month leading up to your wedding day.

+ Includes:

  • Email availability leading up to your date one month out (referrals for vendors, small detail questions, etc.)

  • A meeting one month from the wedding date to go over, wedding details, design concept and execution (created prior to the meeting) and timeline (typically 3 hours).

  • Creation and modification of master itinerary, individual itineraries for vendors who remain onsite for the wedding day, and bridal party itineraries for the bridal party and parents.

  • Review all contracts, contact of all vendors for introduction, and timeline distribution.

  • One hour rehearsal coordination.

  • One assistant to help with set up, clean up, and timeline execution (included in fee).

  • Wedding day set up: greet all vendors as they arrive, set up items including menus, escort cards, programs, signage, - family photos, seating chart, votives, and organization of all rental items and decor brought in by client.

  • Check in with clients as they get ready.

  • Timeline execution, coordination with DJ or band to announce big events (i.e. grand entrance, cake cutting, toasts, first dance, father daughter, mother son, garter toss, bouquet toss, last dance, grand exit), vendor management during the event, tip distribution.

  • Clean up of event: pack all items or personal decor, gifts, cards, etc and organization of any rentals not associated with the catering.

  • Behind the scenes event management and troubleshooting.

Plan 02. - $6000

Partial Planning & Day of Coordination

We map your budget, help select your vendors, manage communication, coordinate all travel and lodging, and manage logistical details. We are also here to offer our opinion on style selections, but leave the real design up to you! We will be there every step of the way: coordinating the rehearsal, ceremony and reception.

+ Includes:

-Everything in Plan 1 -We attend a walk-through of your venue to get an idea of the space and what is needed. -We lead you throughout your entire planning process, answering questions, and giving recommendations. -We will provide hotels and means of travel for your guests, and assist in setting up the hotel blocks. -We serve as the personal liaison between you and all of your vendors throughout the months leading up to your wedding day. By setting up and attending meetings and appointments, reviewing and negotiating proposals and contracts and -making special orders, we will take care of it all. -We assist you in budget management and financial planning throughout the entire planning process. -We help move you along through the Event Hollow vendor booking process. -We will be in communication with your pro team discussing overall particulars, design, set-up, layout, flow and atmosphere of your wedding. That way, we are all on the same page working towards the same aesthetic feel of the event. -We meet with you either in person, video chat or by phone (whatever is most convenient for everyone's schedules!) to do your initial consultation. This package includes unlimited communication and up to 3 walkthroughs of your venue and any -meetings we need to pull your day together perfectly. -We give you information on your marriage license. -We compile a complete itinerary of every aspect of your day and provide all of your vendors with the details. -We help you define our own style and translate it into design choices that will showcase who you are as a couple. -Working with and assisting in bringing in rentals.

Plan 03. - $9000

Full Service Planning & Design

Haven't chosen your venue yet? We'll help find your venue, map your budget, select your vendors, manage communication, coordinate all travel and lodging, and manage all contracts and logistical details. This package also includes complete event design. We'll help translate your style into design choices that showcase who you are. We style every detail of your event: from the paper products to the wedding party attire to the place settings and everything in between. We will be there every step of the way coordinating and designing the rehearsal, ceremony and reception.

+ Includes:

-Everything in Plans 1 and 2 -We discuss what you are looking for in a venue, narrow down your search based on our exclusive knowledge of the venues in the area, and guide you through the selection and booking process. -Create event budget and manage it based on spending goals. -Research venues and assist in selection (if applicable). -Create an actions items list for Client with targeted completion dates for each action to facilitate clear communication between Planner and Client and to enable an organized planning process. -Conduct scheduled weekly calls to check in with Client about action item status and progress in the planning process. -Assist in selecting hotel(s) for out of town guests and establishing a hotel block(s) with favorable rate, when available. -Research and refer vendors based on Client’s budget goals, professional reputation, and event design (includes, as applicable: photographer, videographer, florist, bakery, invitations, catering, calligrapher, DJ/Band, rentals, and lighting design). -Curate a Pinterest board with color and mood inspiration. -Create 3 initial design options to begin the design process, and up to 6 additional designs to cultivate and curate the best design for the client. -Suggest options for design elements including tabletop rentals, paper items, wedding day signage, lounge areas, and floral design. -Review all incoming contracts and offer suggestions for adjustment if needed. -Create and modify master itinerary, individual itineraries for vendors who remain onsite for the wedding day, and bridal party itineraries for the bridal party and parents. -Create a detailed layout for the event which shows where ceremony and reception tables and chairs are placed, welcome tables, beverage stations, bars, cake table, food stations, etc (if venue does not provide). -Email, Skype and phone availability throughout the planning process. -Coordinate the wedding rehearsal (does not include rehearsal dinner). -Wedding day set up: greet vendors as they arrive and direct them to set up according to layout, act as primary vendor liaison, set up décor brought in by Client in assigned areas (usually includes signage, photos, guest book, cake cutting utensils, table numbers, escort cards, menus, etc). -Execute timeline as planned, including as applicable: organize set up, transportation, processional line up, family portraits, cocktail hour, dinner, toasts, cake cutting, cue band/DJ announcements, coordinate first dance, father daughter dance, mother son dance, and last dance. -Distribute tips to vendors. -Behind the scenes event management and troubleshooting. -Clean up decor and put in designated room, space, or vehicle.


ELOPEMENT PLANNING PACKAGES

We'll help find your venue/site/destination, map your budget, select your vendors, manage communication, coordinate all travel and lodging, and manage all contracts and logistical details. This package also includes complete event design. We'll help translate your style into design choices that showcase who you are. We style every detail of your event: from the paper products to the wedding party attire to the place settings and everything in between. We will be there every step of the way coordinating every detail for up to 15 guests.

+ Includes:

Event Design

We help you define your style and translate this into design choices that showcase who you are. We style every detail of your event: from the paper products, to the wedding party attire, to the place settings, and everything in between. This package does not include day of coordination. If you want to add a day of coordinator, you can do so on the next page.

+ Includes:

-Curate a Pinterest/mood board with color and mood inspiration. -Create 3 initial design options to begin the design process, and up to 6 additional designs to cultivate and curate the best design for the client. -Suggest options for design elements including tabletop rentals, paper items, wedding day signage, lounge areas, and floral design. -We help you define our own style and translate it into design choices that will showcase who you are as a couple. -Assistance with styling of the wedding party. -Working with the florist to determine overall look/design, from colors to flower types to containers, etc. -Helping choose favors and other special details. -Helping choose invitation suite and other paper items, such as menus, place cards, escort cards, signs, etc. and a unique way to display them. -Styling advice on bridal & groom attire.

Design 02. - $4000

Event Design & Decor Setup

We help you define your style and translate this into design choices that showcase who you are. We style every detail of your event: from the paper products, to the wedding party attire, to the place settings, and everything in between. This package does not include day of coordination. If you want to add a day of coordinator, you can do so on the next page.

+ Includes:

-Everything in Design 1 -Attend the day of and help set up decorative elements. Not to be confused with full day of coordination and set up. We will work with your coordinator or designated day of contact and set up decorative pieces.

Design 03. - $8000

Event Design, Month of Planning & Day of Coordination

Planning Consultation - $100

  • 1 Hour Consultation with a planner of your choosing.

  • Come with all your questions and get ready for some events education.

A consultation is a chance for you to meet your favorite planners in person or via Skype to discuss your wedding plans. This is a chance for the planner to learn more about you as a couple: your relationship, your vision, your priorities. You can share whether you’ve booked a venue or any other suppliers, along with any concerns you may have regarding timelines, budgets, logistics or simply planning a wedding around your work and social commitments. This is an opportunity for you to get know your planner better and learn more about their background, experience, the planning process and how he/she will work with you to plan your wedding. This is important because you will be working closely together to plan your big day!

  • You can book up to 3 planning consultations on our platform. Select this package, select the planner you want to book with, and then head back to The Hollow to select “+ 2nd Planner Consultation” if you would like to book another.

  • After booking, the planner will reach out to you to schedule your consultation on a date that works best for you.

  • When you’ve made your decision post consultations, return to EH to book a planner with the package that fits you best!
